01Introduction & Scope

In short: This policy explains what data we handle when you use Interpretwise - as an organizer with an account, or as an attendee just listening at an event.

This Privacy Policy applies to our websites, dashboard, listen pages, and related services (the “Services”). It covers everyone who interacts with us: customers who create an account, attendees who join an event, and website visitors. We process personal data in accordance with the EU General Data Protection Regulation (GDPR) and design our Services with privacy in mind.

Controller or processor? When you register an account or visit our website, Interpretwise is the data controller. When you attend an event run by one of our customers, that organizer is the controller and we process data on their behalf - in that case, also review the organizer’s own privacy policy.

03Personal Data We Collect

In short: Account details you type in at sign-up, usage records we need for billing, and the technical basics. Attendees don’t need an account, and event audio is processed in real time - not tied to who’s listening.
  • Account & contact information - name, work email, password (stored hashed), and your company or organization details, provided when you register a self-service account.
  • Event & usage data - events you create, languages enabled, and per-minute usage of interpretation, subtitles, and audio services. We need this to calculate charges against your credit wallet.
  • Audio & transcripts - floor audio from your event is processed in real time to produce interpretation and subtitles. Attendees listen without creating an account; we do not link audio to attendee identities.
  • Billing & transaction data - wallet balance, top-ups, credit grants, and invoices. Card details go directly to our payment processor (see Payments & Billing Data) - we never see or store full card numbers.
  • Technical & device information - IP address, browser type, and device data collected automatically for security and service delivery.
  • Cookies & tracking data - see Cookies & Analytics.
  • Communication data - messages you send us via contact forms or support email.

We do not collect sensitive personal data unless you explicitly provide it, and we do not knowingly collect data from children under 16.


04How We Use Your Data

In short: To run your events, keep your wallet and invoices accurate, keep the platform secure, and - only with your consent - send you marketing.
  • Providing the Services - running your account, events, and real-time interpretation.
  • Self-service account setup - your account and organization are provisioned automatically at registration; no sales contact is required.
  • Billing - metering usage per started minute, charging your prepaid credit wallet, and issuing invoices.
  • Welcome credit administration - verifying that the one-time promotional credit is granted once per company, which includes fraud and duplicate-account checks.
  • Communication - service emails about your account, low balance, and receipts.
  • Marketing - only with your consent; you can opt out anytime.
  • Analytics & product development - understanding aggregate usage to improve the Services.
  • Security & legal compliance - preventing abuse and meeting legal obligations.

We do not use your data for incompatible purposes and do not make automated decisions with legal effect about you.


05Payments & Billing Data

In short: Revolut handles your card. We only keep the ledger - what you topped up, what you used, and your invoices.

When you top up credits, payment is processed by Revolut Bank UAB (company code 304580906, Konstitucijos ave. 21B, 08130 Vilnius, Lithuania), a bank licensed by the European Central Bank and supervised by the Bank of Lithuania, acting as an independent controller of your card data under its own privacy notice. Your card number is entered on Revolut’s systems and never touches our servers - we receive only a confirmation, the amount, and a payment reference.

We keep our own records of your credit wallet: top-ups, promotional grants, per-minute usage charges, reservations during live events, and the invoices we issue. We retain these as required by Lithuanian accounting law (see Data Retention).



07How We Share Data

In short: Only with the providers that run the platform - never sold, never rented.
  • Service providers - under contract and only as needed: Microsoft Azure (hosting, EU data centers), Revolut Bank UAB (payments), and AI speech/translation providers that process event audio in real time.
  • Event organizers - organizers see usage data for their own events, never attendee identities we don’t hold.
  • Authorities - when legally required.
  • Business transfers - if Interpretwise is acquired or merged, with the same protections.

We do not sell your personal data.


08Cookies & Analytics

We use necessary cookies for login sessions and language preference, and - only with your consent - analytics and marketing cookies. You can change your choices anytime via the cookie settings on our site or your browser settings. The listen page for attendees works without any non-essential cookies.


09Data Retention

In short: Event audio isn’t kept by default. Account data goes 30 days after closure; invoices stay 10 years because the law says so.
  • Event audio - processed in real time and not retained by default; recordings and transcripts are kept only if the organizer enables them, under the organizer’s instructions.
  • Account data - deleted 30 days after account closure.
  • Billing & transaction records - 10 years, as required by Lithuanian accounting legislation.
  • Communication records - 2 years.
  • Longer - only where necessary for legal claims.

10Your Rights & Controls

In short: Most things you can do yourself from the dashboard. For everything else, one email.

Under the GDPR you have the right to access, rectify, erase, restrict, or object to the processing of your data, to data portability, and to withdraw consent at any time. You can also lodge a complaint with the Lithuanian State Data Protection Inspectorate or your local supervisory authority.

Self-service controls: from your dashboard you can update your profile and company details, manage users in your organization, download your invoices and wallet ledger, and close your account. For anything else, email info@interpretwise.com - we respond within 30 days.


11International Transfers

Our production infrastructure runs on Microsoft Azure within the European Union. Where a provider processes data outside the EEA, we rely on adequacy decisions, Standard Contractual Clauses, and transfer impact assessments with supplementary safeguards.


12Data Security

We protect your data with TLS encryption in transit, role-based access control, continuous system monitoring, vendor security reviews, and the physical security of EU data centers. Payment card data is handled exclusively by Revolut under PCI DSS.


13Changes to This Policy

We may update this policy as the Services evolve - for example, when new payment methods or features launch. The date at the top always reflects the latest version, and we notify account holders by email about material changes before they take effect.
